Summary:
The QTI Group is partnering with a locally owned manufacturer in the Madison area to hire a Business Office Coordinator. This is a key on-site position responsible for supporting core business functions including accounts receivable, accounts payable, inventory management, and general office operations. This person plays a critical role in ensuring timely processing of daily orders and maintaining accurate inventory levels in a fast-paced, detail-driven environment.
The QTI Group is partnering with a locally owned manufacturer in the Madison area to hire a Business Office Coordinator. This is a key on-site position responsible for supporting core business functions including accounts receivable, accounts payable, inventory management, and general office operations. This person plays a critical role in ensuring timely processing of daily orders and maintaining accurate inventory levels in a fast-paced, detail-driven environment.
The ideal candidate is a proactive self-starter with at least five years of business office experience, strong multitasking ability, and a desire to improve processes. A working knowledge of Sage software and comfort with manual systems is highly valued, as is the ability to prioritize effectively and adapt under pressure.
This is a full-time, temp-to-hire opportunity with a Monday-Friday schedule. General hours are 8:00 a.m.- 5:00 p.m., with core hours of 9:00 a.m. to 3:00 p.m. Starting pay is $22+/hr. based on experience, with a competitive benefits package offered upon hire.
Responsibilities:
- Process all incoming orders, invoicing, and A/R functions using Sage.
- Manage A/P duties, reconcile purchase orders, and resolve discrepancies Monitor.
- inventory and manage reordering to prevent backorders and overstock.
- Maintain customer and vendor records, update pricing, and create item IDs.
- Process credit card and check payments, monitor bank accounts, and assist with monthly reconciliations.
- Coordinate with internal teams for smooth day-to-day operations and shipping.
- Serve as a backup for shipping and order fulfillment when needed.
- Support the bookkeeper and contribute to broader administrative tasks.
Qualifications:
- 5+ years of relevant office or bookkeeping experience.
- Proficiency in Microsoft Office and familiarity with Sage (or similar ERP systems).
- Strong time management, organization, and communication skills.
- Ability to adapt, prioritize, and stay composed under moderate pressure.
- Technical training or a 2-year degree in bookkeeping, accounting, or business preferred.
- Must pass a basic background check; candidates with theft- or fraud-related history will not be considered.
Work Environment & Physical Requirements:
- Casual dress code; closed-toe shoes required when supporting shipping.
- Occasional lifting up to 50 lbs.; use of A-frame ladders for inventory support.
- Manual processes still in place; candidates should be comfortable with both paper-based and digital systems.
