Summary:
The QTI Group has partnered with pharmaceutical company in seeking a part-time, long-term temporary, dedicated and professional Executive Assistant to support their CEO. The ideal candidate will have strong administrative support experience, professional communication, excellent attention to detail, and the ability to multitask in a fast-paced environment. This position will operate Tuesday-Thursday in office 8:30 a.m. – 5:00 p.m. The pay is $25/hr.+ based on experience.
Responsibilities:
  • Maintain CEO' appointment schedule by planning, scheduling, and organizing meetings, national and international travel, and attendance/participation at conferences.
  • Conserves CEO's time by reading, researching, and routing correspondence, drafting letters and documents, collecting and analyzing information; initiating telecommunications.
  • Acts as a liaison for CEO with other employees, outside agencies and vendors.
  • Handles confidential and routine/nonroutine information and provides explanations as appropriate.
  • Performs desktop publishing, creating and developing visual presentations for the CEO.
  • Produces information by transcribing, formatting, designing, inputting, editing, retrieving, copying and transmitting text, data, and graphics.
  • Proofreads copy for spelling grammar and layout, making appropriate changes.
  • Responsible for accuracy and clarity of final copy.
  • Coordinates and arranges logistics for Board of Advisors meetings and assists with creating agendas and compiling meeting materials.
  • Maintains client confidence and protects operations by keeping all information confidential.
  • Welcomes guests and clients by greeting them, in person or on the telephone. Answering or appropriately directing inquiries always ensuring a professional environment.
Qualifications:
  • Associates degree.
  • 2+ years executive level administrative experience.
  • Proven advanced expertise with Microsoft Office.
  • Strong written and verbal communication skills.
  • Excellent time management and organization skills.
  • Exceptional multi-tasking skills.
  • Experience with travel logistics.
  • Supply management.
  • Strong interpersonal skills with all levels of professionals.
